We are seeking a professional, friendly, and highly organized Front Desk Receptionist to join our dynamic educational environment in Cardiff. The Front Desk Receptionist serves as the first point of contact for students, parents, staff, and visitors. This role is vital in creating a welcoming atmosphere while managing a variety of administrative tasks that support the smooth operation of the school.
Key Responsibilities:
- Reception Duties:
- Greet all visitors, students, and staff with a warm, professional demeanor.
- Manage the front desk, answering phone calls, emails, and in-person inquiries promptly.
- Direct visitors to appropriate locations within the school while adhering to security protocols.
- Maintain the visitor log, issue visitor badges, and ensure all protocols are followed.
- Administrative Support:
- Manage the school’s main calendar, scheduling appointments, meetings, and events.
- Handle correspondence, including sorting and distributing mail, drafting routine emails, and managing school communications.
- Assist with maintaining student records and filing systems, ensuring confidentiality and accuracy.
- Support teachers and administrative staff with photocopying, data entry, and document preparation as required.
- Communication:
- Serve as a liaison between parents, staff, and administration, providing clear and accurate information.
- Communicate effectively with students regarding schedules, appointments, and basic inquiries.
- Relay messages accurately and ensure follow-up on outstanding communications.
- Operational Support:
- Monitor office supplies and place orders as needed to ensure smooth operations.
- Assist with emergency procedures, including maintaining updated contact lists and providing support during drills.
- Manage lost and found items and ensure the front desk area is organized and tidy at all times.
Qualifications:
- Education: High school diploma or equivalent required; additional qualifications in office administration are a plus.
- Experience: Previous experience in a receptionist or administrative role, preferably within a school or educational setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with database management systems.
- Communication Skills: Excellent verbal and written communication skills, with strong interpersonal abilities.
